Privacy Policy

1. Who is responsible

Software Tailor (HK) Limited, 17/F, 80 Gloucester Road, Wan Chai, Hong Kong is the data user responsible for personal data collected through TailoredBids. Contact: hello@tailoredbids.com.

2. What we collect

  • Contact details you give us: name, email, company, phone.
  • Tender information and documents you upload. These may contain personal data (for example staff CVs) — please only send what is needed.
  • Payment records. Card payments are handled by Stripe; we never see or store your card number.
  • Technical data: a one-way hash of your IP address, your browser’s user-agent, and security signals from our spam protection.
  • Your marketing preference, if you choose to receive updates.

3. Why we use it

  • To provide the services you ask for and to contact you about them.
  • To bill you and keep accounting records.
  • To protect our services from spam, fraud and abuse.
  • To send you tips and product news — only if you separately agreed to receive them.
  • To comply with legal obligations.

4. Direct marketing

We only use your name and email for direct marketing if you tick the separate opt-in box. You can withdraw consent at any time, free of charge, by emailing us or using the unsubscribe link in any message.

5. Who we share it with

We never sell personal data. We use these service providers to run TailoredBids, each only for the purpose stated:

  • Cloudflare — website hosting, databases, file storage and spam protection.
  • Anthropic — AI processing of tender documents to produce your outputs.
  • Amazon Web Services — sending email.
  • Stripe — payment processing.

We may also disclose data to professional advisers, or where required by law.

6. Processing outside Hong Kong

Our service providers may process data outside Hong Kong, including in the United States, Singapore and the European Union. We choose providers that protect data with appropriate safeguards.

7. How long we keep it

  • Uploaded tender documents, and copies of the emails and attachments you send us: deleted 180 days after we receive them, or sooner on request.
  • Enquiry and contact records: up to 2 years after our last contact with you.
  • Payment and accounting records: 7 years, as required for tax purposes.
  • Marketing preferences: until you opt out.

8. Security

Data is encrypted in transit, each customer’s files are stored separately, and access is limited to the people who need it to deliver our services.

9. Your rights

You may ask to access or correct your personal data under the Personal Data (Privacy) Ordinance (Cap. 486); we will respond within 40 days. You may also ask us to delete your data. If you are in the EU or UK, you also have the rights given by the GDPR. Email hello@tailoredbids.com.

10. Cookies and analytics

We use only the cookies needed to run the site. Our analytics (Cloudflare Web Analytics) do not use cookies. Our spam protection (Cloudflare Turnstile) processes technical data to tell people from bots.

11. Changes

We will post any changes on this page with a new "last updated" date. If the English and Chinese versions differ, the English version prevails.
